Dixon & De Jaeger BV, trading under the name DDJ&, respects your privacy. We handle personal data of website visitors, clients, business contacts, suppliers, newsletter recipients and other contacts with care.

DDJ& specialises in recruitment, selection, executive search and governance advice for the cultural, creative and social sectors. In this context, we process personal data. In this privacy statement, we explain which data we process, why we do so, how long we retain it, with whom we share it and what rights you have.

2. Who does this privacy statement apply to?

This privacy statement applies to the personal data of:

  • website visitors;
  • clients and potential clients;
  • contact persons at organisations;
  • suppliers and collaboration partners;
  • newsletter recipients;
  • participants in meetings, conversations or programmes;
  • other business relations of DDJ&.

3. Which personal data do we process?

Depending on your relationship with DDJ&, we may process the following personal data:

  • name;
  • organisation;
  • job title;
  • business contact details, such as email address and telephone number;
  • address details;
  • communication data, such as emails and meeting notes;
  • information about assignments, appointments, invoices and payments;
  • information you provide to us yourself via forms, email, telephone or conversations;
  • newsletter preferences;
  • website data, such as cookie data and analytical data;
  • publicly available professional information, for example via LinkedIn or an organisation's website, insofar as this is relevant to our services.

We only process personal data that is necessary for the purposes for which we use it.

4. Why do we process personal data?

We process personal data for the following purposes.

Communication and relationship management

We use contact details to stay in touch with you, answer questions, schedule appointments, send information and carefully manage our relationship with clients, candidates and business contacts.

Legal basis: legitimate interest, performance of a contract or consent.

Performance of assignments

We process personal data in order to provide our services. This may include recruitment and selection, executive search, governance advice, organisational advice, supporting selection committees, evaluations or other assignments.

Legal basis: performance of a contract or legitimate interest.

Proposals, contracts and administration

We process personal data for preparing proposals, entering into and performing contracts, invoicing, financial administration and internal control.

Legal basis: performance of a contract, legal obligation or legitimate interest.

Newsletters and invitations

If you subscribe to a newsletter or invitation, we use your data to send you this communication. You can unsubscribe at any time via the unsubscribe link or by contacting us.

Legal basis: consent or legitimate interest, depending on the relationship and the type of communication.

Improvement of our website and services

We use limited analytical data to understand how our website is used and how we can improve our communication and services.

6. With whom do we share personal data?

We only share personal data where this is necessary for our services, our business operations or legal obligations.

We may share personal data with:

  • clients, insofar as necessary for the performance of an assignment;
  • suppliers and service providers who provide services on our behalf;
  • IT and hosting providers;
  • administration and accounting providers;
  • email and newsletter services;
  • legal, tax or other professional advisers;
  • government authorities, regulators or courts where we are required to do so.

Where necessary, we enter into a data processing agreement with parties that process personal data on our behalf.

We do not sell personal data to third parties.

7. Which systems and service providers do we use?

For our services, we may use, among others:

  • Tellent/Recruitee, for our vacancy and application environment;
  • Google Workspace, for email, documents and calendar;
  • Mailchimp or a comparable service, for newsletters and mailing lists;
  • Cloudflare, for security and the technical operation of the website;
  • Google Analytics, for analysis of website use;
  • website and hosting services;
  • analytics and cookie tools;
  • administration and accounting systems.

This list may change. We ensure that appropriate arrangements are made with service providers that process personal data on our behalf.

8. Transfers outside the European Economic Area

Some service providers may process personal data outside the European Economic Area. If this happens, we ensure that appropriate safeguards are in place, such as standard contractual clauses, additional security measures or other mechanisms permitted under the GDPR.

9. How long do we retain personal data?

We do not retain personal data for longer than necessary for the purpose for which we process it, unless we are legally required to retain data for longer.

Examples:

  • we retain business contact details for as long as there is a business relationship or for as long as contact may reasonably be relevant;
  • we retain administrative and tax data in accordance with statutory retention periods;
  • we retain newsletter data until you unsubscribe;
  • we retain website and cookie data in accordance with the periods set out in our Cookie Statement;
  • we retain data relating to assignments for as long as necessary for the performance, evaluation, administration or possible legal settlement of the assignment.

10. How do we protect personal data?

We take appropriate technical and organisational measures to protect personal data against loss, misuse, unauthorised access, unwanted disclosure and unauthorised alteration.

We use, among other things, secure connections, access management, careful internal procedures and agreements with service providers. Only persons who need the data for their work are given access.

11. Your privacy rights

Under the GDPR, you have several rights. You may ask us for:

  • access to your personal data;
  • correction of inaccurate or incomplete data;
  • deletion of your data;
  • restriction of processing;
  • transfer of your data, where applicable;
  • objection to processing based on legitimate interest;
  • withdrawal of previously given consent.

If you make a request, we may ask you to confirm your identity. In principle, we respond within one month. In complex cases, this period may be extended as permitted under the GDPR.

You also have the right to lodge a complaint with the Dutch Data Protection Authority.

We may amend this privacy statement if our services, legislation or working methods change. The most current version is always available on our website.
