DDJ& supports recruitment, selection and executive search for executive, management and supervisory positions in the cultural, creative and social sectors.
In this work, we process personal data of candidates. This may include people who apply themselves, people we approach via public sources, people who are referred to us by others and people who give permission to be included in our candidate database or talent pool.
In this candidate privacy statement, we explain which personal data we process, why we do so, how long we retain it, with whom we share it and what rights you have.

DDJ& is the controller for the personal data we process in the context of recruitment, selection and executive search.

2. Who does this candidate privacy statement apply to?
This statement applies to:
- applicants who respond to a vacancy of DDJ& or a client of DDJ&
- candidates approached by DDJ& via public sources, such as LinkedIn or organisational websites
- candidates referred to DDJ& by someone else
- candidates participating in an ongoing selection procedure
- candidates who give permission to be included in our candidate database or talent pool
- referees, insofar as their data is processed in a selection procedure
3. How do we collect personal data?
We may receive or collect personal data in different ways.
You apply yourself
You provide data via our vacancy environment, via email, via a form or during conversations with DDJ&.
We approach you via public sources
DDJ& may consult public professional sources to identify potential candidates. These may include LinkedIn, organisational websites, public profiles, press releases, registers, news articles or other publicly available sources.
If we believe that your profile may be relevant to an assignment, we may approach you to ask whether you are interested in a conversation or procedure.
You are referred to us
Sometimes someone else refers you as a potential candidate. This may be a client, director, supervisor, colleague, contact or other person. If we receive your data and believe there may be a relevant match, we may contact you.
You give permission for future contact
If you would like us to contact you about future positions, we will ask for your separate consent. You may withdraw this consent at any time.
4. Which personal data do we process?
Depending on the procedure and your contact with DDJ&, we may process the following personal data:
- name
- email address
- telephone number
- place of residence or region
- LinkedIn profile or other professional online profiles
- CV
- cover letter or motivation answers
- current and previous positions
- education, experience, expertise and competencies
- availability
- salary indication or fee indication, if relevant
- answers to selection or screening questions
- interview notes
- assessments, evaluations and procedure status
- planning and correspondence relating to the procedure
- references and information from reference conversations, if you have given permission for this
- information you share with us yourself during conversations or in documents
We ask you not to share special categories of personal data with us unless this is necessary for the procedure. This includes data about health, religion, political opinions, ethnic origin, sexual orientation or other sensitive information.
We also advise you not to include unnecessary personal data in your CV or motivation, such as a photo, date of birth, citizen service number or copy of an identity document, unless this is specifically and legitimately requested.
5. Why do we process your personal data?
We process candidate data for the following purposes.
Assessing your suitability
We use your data to assess whether your profile, experience, motivation, availability and ambitions match a position or assignment.
Legal basis: performance of pre-contractual measures, legitimate interest or consent, depending on the situation.
Supporting selection procedures
We use your data to schedule interviews, maintain contact, inform you about the procedure, record evaluations and carefully support selection committees.
Legal basis: legitimate interest, performance of pre-contractual measures or consent.
Sharing with clients
If you participate in a procedure, we may share relevant data with the client. This may include your CV, motivation, profile summary, interview findings or other information needed for the selection.
We do not share your data with clients without due consideration. As a rule, we inform you in advance about sharing your profile or ask for your consent, depending on the stage of the procedure.
Legal basis: consent, performance of pre-contractual measures or legitimate interest.
Executive search and sourcing
We use publicly available professional information to identify and approach suitable candidates for positions for which we are recruiting.
Legal basis: legitimate interest. DDJ& and its clients have an interest in careful recruitment and selection. We weigh this against your privacy interests and only process data that is relevant for professional approach.
You may object to this processing at any time.
Talent pool and future positions
If you give consent, we may retain your data in order to approach you later about potentially suitable positions.
Legal basis: consent.
You may withdraw this consent at any time. We will then remove your data from the talent pool, unless we have another valid reason to retain certain data temporarily.
Reference checks
We only conduct reference checks if this is relevant to the procedure and after discussing this with you. In principle, we ask for your prior consent.
Legal basis: consent or legitimate interest, depending on the situation.
Administration, accountability and disputes
We may retain limited data for administration, quality control, internal control, legal substantiation or the handling of questions and complaints.
Legal basis: legal obligation or legitimate interest.
6. Are you required to provide personal data?
You are not required to provide personal data to DDJ&. Without certain data, however, we may not be able to properly assess or support your application or candidacy.
We only ask for data that is relevant to the procedure.
7. How long do we retain candidate data?
We do not retain your personal data for longer than necessary.
During a procedure
During an ongoing procedure, we retain your data for as long as necessary to carry out the procedure carefully.
After completion of a procedure
If you are not appointed or the procedure ends, we generally delete your application data within 4 weeks after completion of the procedure, unless you give consent for us to retain your data for longer.
Talent pool or candidate database
If you give consent for your data to be retained for future positions, we retain your data for a maximum of 12 months. After that, we will ask for your consent again if we wish to retain your data for longer.
You may withdraw your consent earlier at any time.
Sourcing contacts
If we approach you via public sources and you indicate that you are not interested, we retain at most limited data to prevent us from unnecessarily approaching you again for the same or similar procedures, unless you ask for complete deletion and there is no reason to retain data temporarily.
Appointed candidates
If you are appointed by a client, certain data may be retained for longer for administration, accountability, evaluation or contractual arrangements with the client. In that case, we only retain data that is necessary for those purposes.
Statutory or legal retention periods
Sometimes we must retain data for longer, for example for administration, evidence or legal claims. In that case, we only retain the data that is necessary.
8. With whom do we share your data?
We may share your personal data with:
- clients of DDJ&, insofar as necessary for the procedure
- members of selection committees, appointment advisory committees, supervisory boards, boards or other parties involved in the procedure
- service providers who manage or support systems on our behalf
- Tellent/Recruitee, as supplier of our vacancy and application environment
- Google Workspace or comparable office software, for email, calendar and documents
- professional advisers, if necessary
- government authorities or regulators, if we are legally required to share data
We only share data that is necessary for the relevant purpose. Where necessary, we enter into a data processing agreement with processors.
We do not sell candidate data to third parties.
9. Tellent/Recruitee and vacancy environment
Our vacancy environment is supported by Tellent/Recruitee. DDJ& is responsible for the processing of personal data that takes place via our vacancy environment. Tellent/Recruitee processes personal data on behalf of DDJ& as processor.
Tellent/Recruitee may have access to personal data for hosting, technical management, security, support and maintenance of the vacancy environment.

10. Transfers outside the European Economic Area
Some systems or service providers may process personal data outside the European Economic Area. If this happens, we ensure that appropriate safeguards are in place, such as standard contractual clauses, additional security measures or other mechanisms permitted under the GDPR.
11. How do we protect your data?
We take appropriate technical and organisational measures to protect your personal data. These include secure connections, access management, restricted access to candidate data, careful internal procedures and agreements with service providers.
Only persons involved in the procedure or in supporting it are given access to your data.
12. Your privacy rights
Under the GDPR, you have several rights. You may ask us for:
- access to your personal data
- correction of inaccurate or incomplete data
- deletion of your data
- restriction of processing
- transfer of your data, where applicable
- objection to processing based on legitimate interest
- withdrawal of previously given consent
If you withdraw your consent, this does not affect the lawfulness of processing that took place before the withdrawal.

In principle, we respond within one month. In complex cases, this period may be extended as permitted under the GDPR.
13. Objection to sourcing or approach
Do you no longer wish to be approached by DDJ& for positions or procedures? Please let us know at opportunities@dixon-dejaeger.com. We will process your objection as soon as possible.
We may retain limited data to prevent us from approaching you again, unless you request complete deletion and we have no valid reason to retain data temporarily.

You also have the right to lodge a complaint with the Dutch Data Protection Authority.
15. Changes
We may amend this candidate privacy statement if our working methods, systems, services or legislation change. The most current version is always available on our website.
